How to Use StockFlow Pro 📖
StockFlow Pro ek smart cloud-based accounting, inventory, and billing solution hai. Is guide mein hum detail mein cover karenge ki aap is website ke saare features ko offline-online kaise run kar sakte hain aur apne daily workflow ko auto-pilot pe daal sakte hain.
1. Getting Started & Setup
StockFlow Pro ko use karne ke liye sabse pehle aapko login credentials setup karne hote hain:
- Sign Up / Login: Click [Login] on the navbar. If you are a new user, switch to Sign Up. Enter your email and choose a secure password.
- Onboarding & Company Creation: Login hone ke baad aap Onboarding Page par direct honge. Yahan do option milenge:
- Create a Workspace: Apni shop/business ka name aur team members ke liye join password enter karein.
- Join an Existing Workspace: Agar aapka partner pehle se use kar raha hai, to unka Workspace code aur Join Password enter karke merge ho jayein.
- Settings Configuration: Dashboard khulte hi sabse pehle left sidebar mein **Settings** par jayein. Yahan apna complete Business Address, phone, tax structure, default CGST/SGST rates aur digital payments ke liye UPI ID save kar lein.
2. Products & Fuzzy CSV Importer
Apna items stock track karne ke liye left sidebar mein **Inventory** link par click karein:
- Manual Entry: Click "Add Product". Input product details:
- SKU (Stock Keeping Unit): Unique reference. Enter manually or click save to auto-generate based on product name.
- Purchase vs Selling Price: Track buy margin directly.
- GST Rate & HSN: Enter tax percentages (e.g. 5%, 12%, 18%) for accurate billing calculations.
- Min Stock Threshold: Set alert limits. Stock iski niche jate hi product ke samne orange "Low Stock" badge dikhega.
- Fuzzy CSV Importer (Bulk Upload):
- Excel/CSV inventory sheet ko drag aur drop karein.
- Humari Fuzzy Header Auto-Mapping machine check karegi aur headers mapping match kar legi (e.g. agar column ka name "Buy Price" ya "Rate" hai, to use system "purchase_price" se match kar lega).
- Map columns verify karein aur click "Import". Database mein dynamic transaction-safe batches of 100 rows insert hone shuru ho jayenge.
3. Invoicing & Fast GST Billing
New Bill generate karne ke liye left sidebar mein **Sales** link par click karke **"Create Sale"** par jayein.
- Billing Form:
- Invoice Number (automatically incremented format validation) defaults check karein.
- Select Customer: Dropdown se customer choose karein. System unka automatic outstanding ledger balances aur loyalty points right card panel pe show kar dega.
- Line Items Table:
- Click "+ Add Product". Dropdown search se items choose karein. Price, HSN aur tax details instantly fill ho jayenge.
- Change quantity or add discounts percentage per item. Total discount aur tax variables dynamic right card par auto-calculate hone shuru ho jayenge.
- Payment & Settlement:
- Choose payment mode (Cash/UPI/Bank/Credit).
- Paid amount fill karein. Agar koi balance pending bachta hai, to system ledger book mein use automatic record kar lega.
- Generate click karein. Stock automatically deduct ho jayega aur invoice records save ho jayenge.
- Print & PDF: Sales dashboard list mein dynamic invoice click karke **"Print"** choose karein. Browser system native PDF builder launch kar dega formatting ke sath.
4. Customer Ledger (Khata Book) & UPI
Outstanding balance collect aur track karne ke liye **Customers** page par jayein:
- Ledger Cards: Har customer ka card show hoga with net outstanding balance (e.g. Balance Due: ₹12,500).
- Ledger Modal View: Customer card par **"View Details"** par click karein.
- Debit & Credit Logs: System chronological table list show karega. Har billing transaction (debit) aur record payment (credit) timeline format mein display hogi running balance calculations ke sath.
- Auto-UPI QR Code: Right side par customer details aur amount choose karke dynamic **UPI QR Code** show hoga. Customer directly scan karke UPI (GPay/PhonePe/Paytm) se amount pay kar sakta hai.
- WhatsApp Reminder Templates: Click **"WhatsApp Reminder"** button. System automatic prefilled message construct karke phone link launcher trigger kar dega:
"Dear [Customer Name], outstanding balance ₹XX is due on invoice. Please pay via UPI using QR code link..."
5. Barcode Camera Scanner Setup
StockFlow Pro bina external device lagaye mobile camera se direct barcode scans support karta hai:
- Access Scanner: Dashboard ke top navbar search bar ke right side mein barcode icon `[QrCode]` par click karein.
- Browser Permissions: Camera load notification aane par **"Allow camera permission"** choose karein.
- Scan Product: Barcode ko box frame ke niche le jayein. Browser-native `BarcodeDetector` engine background threads mein code decipher kar lega:
- Agar SKU match ho jata hai: System search queries fill kar dega, or product list instantly focus mein aa jayegi quantity change actions ke sath.
- Developer testing ke liye aap **"Simulate Scan"** option use karke test barcodes triggers run kar sakte hain.
6. GST Logs & Input Tax Credit (ITC)
Monthly tax files manage karne ke liye left sidebar mein **GST** link par click karein:
- GST Overview Summary Cards:
- Output GST: Sales billing se generate kiya gaya tax values amount.
- Input GST / ITC: Purchase logs se claim kiya jane wala and paid tax amount.
- Net GST Payable: Output minus Input tax. Agar output values positive aati hain, to orange badge show hoga else no tax due indicators.
- HSN-Wise Breakdowns: GSTR-1 file check karne ke liye HSN summary tab se direct rates, codes, aur taxable turnovers check karein.
- Export CSV: Click "Export GSTR" button to download Excel files to share with your CA or submit directly on GST portal.
7. AI Business Agent
StockFlow Pro has an integrated AI bot to help query your business database.
- Click the chat bubble button on the bottom right of the screen.
- Type queries in natural language, for example:
- "List low stock products"
- "How much did I sell today?"
- "Show my active customers"
- "What is my net GST liability?"
- The AI will execute secure, RLS-filtered database lookups and present you with clean summaries instantly.
